Class cancellation messages for studios and lessons
Name the class, date, and time first. Then say whether it is cancelled or rescheduled and what attendees should do. A short, precise message helps customers avoid travelling for a class that will not happen.
Make the affected session unmistakable
“Class is cancelled” leaves too much room for confusion if you run several sessions. Include the class name, its usual start time, the date, and the location when you use more than one room or venue.
Keep the explanation brief. You can say an instructor is unavailable without sharing private health details. State the next step only after you have confirmed it with the people responsible for bookings and payments.
Cancellation with the next session unchanged
Subject: [Class] on [date] at [time] is cancelled
The [class name] session at [location] on [date] at [time] is cancelled because [brief reason]. Our next scheduled session is [date and time]. [Explain the confirmed booking or payment arrangement.] If you have a question about your booking, contact [contact details].
Replace the bracketed details and remove anything that does not apply. Do not promise a refund, credit, or automatic transfer until you have confirmed how it will be handled.
Rescheduling to a confirmed time
Subject: [Class] moved from [old time] to [new time]
[Class name], originally scheduled for [old date and time], will now take place on [new date] at [new time] at [location]. [Say whether attendees need to confirm or rebook.] If the new time does not work for you, contact [contact details] about the available options.
Include both the old and new dates. A person reading an older message later should still be able to understand exactly which session changed.
When you do not have a replacement session yet
Subject: [Class] cancelled on [date]; replacement pending
The [class name] session on [date] at [time] is cancelled. We are arranging a replacement and will update you by [date and time]. [Explain any action attendees should take now.] Please contact [contact details] with booking questions.
A firm time for the next update is useful even when the replacement class is undecided. Send that update when promised, including when the answer is still pending.
Send the message where attendees expect it
Update your timetable or booking system as well as sending the notice. If the cancellation is imminent, use the contact methods agreed with the affected attendees. Email and Telegram do not guarantee that someone has read a message before leaving home.
