Announce a changed event doors or start time

Name the changed milestone: doors, check-in, or event start. Give old and new times, state what remains unchanged, and confirm attendee options through the booking process.

Do not collapse every time into ‘starts later’

An event can open doors later while starting on time, or move its start while keeping reception open. Customers need each relevant time to plan transport and arrival. Write the revised timeline before drafting the notice.

Check staff, venue, and booked services against the replacement schedule. If the change affects a paid package or travel arrangement, give the verified options route rather than assuming every attendee can adapt.

Before you send

  1. Confirm the event name, date, and timing milestone changed.
  2. Show old and new doors, check-in, and start times as relevant.
  3. Verify any late-arrival or finish-time implications.
  4. Update ticket instructions and contact booked attendees directly.

Message examples to adapt

These are original examples. Replace bracketed details and check every promise before using them.

Doors change only

Subject: [Event, date] doors now open [new time]

Doors for [event] on [date] will open [new time], replacing [old time]. The event still starts [start time] at [venue]. Check-in follows [verified arrangement]. Please use [entrance]. Ticket-holder questions: [contact].

Start and finish change

Subject: [Event] time changes to [new start] on [date]

[Event] now starts [new time], replacing [old time], with doors at [time] and expected finish at [verified time]. The venue is [address]. If the revised timing affects your booking, follow [verified options route] or contact [details].

Make the latest timeline the obvious one

Update the event page and confirmation instructions rather than leaving two active timelines. Label the subscriber notice as a change so readers do not overlook it as another promotion.

Give check-in staff the same times and any verified late-arrival rule. A correct email loses value if the door team applies the old schedule.

Common questions

Should I include the old time?

Yes. It makes the replaced plan identifiable and helps people notice the actual change.

Can a general list replace attendee contact?

No. Contact ticket holders through the records and routes used for their bookings as well.

Put this into practice

Use event-news subscribers for the public timing correction and actual booking records for affected guest contact.
