Supplier delay updates for shop customers

State which product availability is delayed, distinguish estimates from confirmed dates, and give a next-update plan. Contact customers with paid or accepted orders privately about their own options.

Separate public restock expectations from order commitments

People waiting to browse need a stock estimate; people with paid orders need their specific fulfillment options. One general message cannot handle both. Explain the broad delay to interested subscribers and use order records for individual arrangements.

Verify what the supplier has actually confirmed. A dispatch estimate, tracking scan, or expected delivery date is not proof that stock will be ready for sale that day. Avoid shifting responsibility to the supplier while leaving customers without a next step.

Before you send

  1. Confirm the affected products and the supplier's current information.
  2. Label any arrival date as estimated until stock is received and checked.
  3. Choose a definite next-update time or trigger you will monitor.
  4. Review existing orders privately before announcing broad alternatives.

Message examples to adapt

These are original examples. Replace bracketed details and check every promise before using them.

Estimated restock delayed

Subject: [Shop] [product] restock delayed

The expected [product] restock on [original date] is delayed. Our current estimate is [period], but it is not a confirmed sale date. We will update availability by [date]. Please wait for the received-stock announcement before travelling. Existing order questions: [contact].

No reliable arrival date

Subject: [Product] availability update from [Shop]

[Product] remains unavailable, and we do not yet have a reliable arrival date. We will share another update by [date], even if the status is unchanged. Current alternatives are shown at [link]; they are not automatic replacements for an existing order.

Confirm receipt before the restock message

When the delivery arrives, inspect and prepare it for sale before sending the next announcement. If only part arrived, name those variants and keep the remaining delay explicit.

Keep your promised update even without a new date. A short status notice with a new check-in is more useful than repeatedly moving an unsupported arrival promise.

Common questions

Can I offer refunds in a general notice?

Only explain a verified general policy. Individual order eligibility and options should be handled privately under the applicable terms.

Should I blame the supplier?

Explain the operational fact briefly and focus on the customer's next step and your update commitment.

Put this into practice

Use restock subscribers for general availability status, with private order contact for customers who have purchase commitments.
