Bakery preorder window messages: opening and closing

State the opening and closing date of the preorder window, the ordering route, and when customers collect. Make clear whether the window can close early when production capacity is reached.

Keep the order deadline separate from collection

Customers may see a pickup date and assume they can order until that morning. Put the order cutoff near the start, then the collection window. For a recurring bake, give full dates rather than ‘same as usual.’ New subscribers may not know the routine.

A preorder needs a real confirmation process. Decide whether the order is confirmed by checkout, a written acceptance, or another step. Subscriber signup, a social comment, and a message reply should not accidentally sound like confirmed purchases.

Before you send

  1. Confirm production capacity and the products available for preorder.
  2. Write both order deadline and collection window with full dates.
  3. Explain early closure if capacity can fill before the deadline.
  4. Test the order route and state how customers know their order was accepted.

Message examples to adapt

These are original examples. Replace bracketed details and check every promise before using them.

Window opening

Subject: [Bakery] preorders open for [collection date]

Order [products] at [link] from [opening date and time]. The window closes [deadline] or earlier if our bake capacity fills. Collection is [date, window, location]. Your order is confirmed when [confirmation step]. Questions about an existing order: [contact].

Final useful reminder

Subject: Preorders close [time, date] for [Bakery]

Our [collection date] preorder window closes at [time] on [date]. Current availability is shown at [link]. Collect confirmed orders at [location] during [window]. If an item is unavailable there, we cannot accept further orders for it through replies.

Close the ordering route when promised

At the cutoff, stop accepting orders or update the page with the actual next option. Do not send a ‘last chance’ notice while leaving an unbounded order form open overnight.

If extra capacity becomes available, verify it before reopening and announce the new deadline as a new fact. Avoid repeatedly extending a supposedly final cutoff; customers need to trust the dates.

Common questions

Should I publish the exact remaining quantity?

Only if you can keep it accurate. A current order page is often more reliable than a quantity frozen in an email.

Will reminders send automatically?

No. Set your own operational reminder to write and send any cutoff notice; KeepMPosted does not schedule it.

Put this into practice

Use a preorder or bread-run topic for manual window announcements and direct every purchase to your actual order process.

KeepMPosted collects subscribers through a QR signup page and sends updates by email or Telegram using prepaid credits. Customers can choose the message types you offer. You write and send each update; SMS and scheduled sending are not available.
