Tell customers a preorder window reached capacity

Say the preorder window is closed for the named run, whether confirmed orders continue, and what the next real option is. Distinguish production capacity from the shop being closed or every product being unavailable.

Close the route before sending the announcement

When capacity fills early, the original deadline may still be circulating. Update the order page first, then explain that the run reached its production limit. Customers should not be able to submit an order that the announcement says you cannot accept.

Check whether counter stock or another run exists before offering alternatives. A subscriber list is not a waiting list, and a message reply is not automatically a place in a queue. Only describe processes you have arranged and can maintain.

  1. Confirm the specific run or products that reached capacity.
  2. Close the order form or affected products before announcing the change.
  3. Verify existing order and collection arrangements remain intact.
  4. Offer a next run or waitlist only if that process really exists.

One product at capacity

We have reached our production limit for [product] on [date]. Other available items are shown at [order link]. Confirmed [product] orders are unchanged. [Verified alternative, if any]. Please use [contact] for a question about an existing order.

Do not reopen on an uncertain estimate

If cancellations or extra production free space, confirm it before reopening. Give a new ordering route and cutoff rather than telling customers to reply and hope. Keep the old closed notice dated so readers can identify which plan it describes.

Review whether the original opening message explained early capacity closure. Include that rule next time if it is part of the real process, so customers understand why the deadline is not a guarantee of stock.

Common questions

Should I apologize for closing early?

Acknowledge disappointment briefly and give the actual next step. Do not promise extra production as a courtesy before it is confirmed.

Can I offer ‘join the list for priority’?

Only if a real priority-ordering process supports that promise. Announcements alone do not create priority access.
