Keep door signs, public pages, and customer updates consistent

Write the verified service plan once, then update the places customers use to decide whether to visit. Assign someone to remove expired notices as well as publishing new ones.

Choose one reference for the changed facts

A correct email can conflict with yesterday's door sign or an unchanged public schedule. Create a short reference containing the affected location, dates, hours, and next step. Use it to check every published version.

Different surfaces need different length, but the facts should match. The door needs an immediate status and route for help; the website can carry fuller details; the subscriber message can explain the change and action. Do not invent different estimates for each channel.

Before you send

  1. Confirm one written plan with the responsible operational person.
  2. List door signs, website, public profile, order pages, and staff instructions.
  3. Publish the same dates, times, and status in each relevant place.
  4. Assign a person and date to remove or replace every temporary notice.

Message examples to adapt

These are original examples. Replace bracketed details and check every promise before using them.

Reference fact sheet

Verified change: [business and location]. Affected dates: [dates]. Current service: [status and hours]. Customer action: [next step]. Existing orders: [private contact route]. Next update: [deadline]. Checked by: [responsible person]. Surfaces to update: [list].

Door version of the plan

[Business, location] is [status] on [date]. [Confirmed hours or next-update time]. For an existing order or booking, contact [details]. Current public information: [URL]. Get future operational updates at [signup URL].

Remove the old version after recovery

Check signs physically rather than assuming an online restoration fixed everything. Replace older order instructions where possible and label any retained notice with its affected date.

After an incident, inspect where customers found conflicting information. Add that surface to the checklist for the next holiday, closure, or schedule change.

Common questions

Does KeepMPosted update public profiles?

No. It sends subscriber messages; public listings and signs need their own updates.

Should every surface use identical wording?

Use suitable lengths while preserving the same verified facts and customer next step.

Put this into practice

Make subscriber broadcasts one part of a coordinated notice routine, with public information maintained separately for new visitors.

KeepMPosted collects subscribers through a QR signup page and sends updates by email or Telegram using prepaid credits. Customers can choose the message types you offer. You write and send each update; SMS and scheduled sending are not available.
