Write a customer update when the details are still uncertain
State what is confirmed, what remains unknown, and what customers should do now. Give a definite next-update time instead of turning an uncertain repair, harvest, or booking estimate into a promise.
Organize the message by certainty
A useful incomplete update can say the shop is closed, reopening is unconfirmed, and another notice will arrive by noon. That gives customers a plan without pretending you know the result. Silence can leave them acting on an earlier schedule.
If you mention an estimate, label it and identify the source where relevant. Check whether it really concerns the customer's usable service: a supplier delivery estimate or repair finish does not automatically establish collection readiness.
Before you send
- Write down the verified current status.
- Identify estimates and unknowns separately.
- Give an immediate action such as wait, check, or contact.
- Choose a next-update deadline you can keep without a new result.
Message examples to adapt
These are original examples. Replace bracketed details and check every promise before using them.
Keep the next update about the customer's plan
At the deadline, state the current status and either the confirmed plan or a new check-in. Do not replace one vague ‘soon’ with another. The reliable commitment is to provide information you can verify.
When confirmed, include full dates, times, and locations again. Someone reading only the final message should still be able to act without retrieving every earlier notice.
Common questions
Is it better to wait until everything is known?
If customers need to change plans now, send the verified current status and next-update time. Do not invent the missing details.
Should I promise an exact outcome by the update deadline?
Promise the status update, not an uncertain external result. Make that distinction clear.
Put this into practice
