Pickup window change message examples

State the affected collection date and both the old and new window. Keep the location visible even if unchanged, and give a verified contact route for customers who cannot use the revised time.

Check the full window, not just the new start

Moving collection later can shorten the time customers have to arrive. Confirm the new finish time, staffing, and any storage arrangements before announcing the change. A revised start without an end leaves customers guessing.

Use exact dates and times rather than ‘an hour later.’ Some people will read a forwarded notice without the original message. If multiple pickup rounds operate that day, name the affected round and state whether the others remain unchanged.

Before you send

  1. Confirm the new start and finish with the pickup team.
  2. Name the collection date, round, old window, and replacement window.
  3. Verify whether address, entrance, or pickup requirements also change.
  4. Agree alternatives before promising them to affected buyers.

Earlier collection

Our [date, round] collection will now run [new window], replacing [old window]. Please arrive before [new finish time]. Collect at [location]. Other rounds are [verified status]. Existing order questions should go to [contact] before travelling.

Change the instructions customers keep

Update the order confirmation page and collection notices, then brief the team. If the old window still appears in a retained confirmation, the correction should clearly identify and replace it.

After collection, record which part of the notice caused confusion. Customers may need the finish time, entrance, or order reference emphasized more than the reason for the change.

Common questions

Should I send a general subscriber notice?

It can explain the shared change, but confirmed buyers should also receive contact through the route used for their orders.

Can I offer late collection to everyone?

Only if staff and storage arrangements can support it. Otherwise give a contact route for individual options.
