A partial service interruption update for customers
Name the unavailable service first, then state what still operates and when you will update customers. A partial interruption should not make the whole business sound closed.
Describe the customer's usable options
An equipment issue may stop hot drinks while food collection continues, or interrupt card payment while the shop stays open. List the services customers can actually use. Avoid ‘technical difficulties’ without explaining the effect on their visit.
Confirm any alternative before recommending it. Staff need a workable plan for payments, queues, or collection. Do not promise another location can fulfill an existing order unless that transfer has been arranged.
Before you send
- Confirm the affected service and the date the notice covers.
- Check which services, hours, and payment methods remain available.
- Give a working contact route for affected existing commitments.
- Set a next-update time and brief staff on the same service limits.
Message examples to adapt
These are original examples. Replace bracketed details and check every promise before using them.
Confirm the actual restoration
A repair completed is not necessarily service restored. Check the process customers will use, then announce which service is available again and whether any limits remain.
Replace public notices and staff instructions at the same time. If restoration is still uncertain at the promised update time, say what remains unavailable and give the next check-in.
Common questions
Should the subject say ‘closed’?
Use ‘closed’ only if the location is closed. For a partial outage, name the affected service to avoid misleading customers.
Does a delivered notice prove customers know?
No. Keep entrance and ordering information current and contact affected bookings through their normal route.
Put this into practice
Use a general service-notice topic for verified interruptions and restoration updates, with private order problems handled separately.
KeepMPosted collects subscribers through a QR signup page and sends updates by email or Telegram using prepaid credits. Customers can choose the message types you offer. You write and send each update; SMS and scheduled sending are not available.
