Announce an event has reached capacity

State which event or activity is full and close its booking route. Explain ticket-holder arrangements and any real next option without implying an update subscription is a waiting-list place.

Name the capacity limit's scope

A workshop can fill while the wider open day remains available. Name the booked activity and its date. ‘Event sold out’ can discourage visits that are still possible if only one part reached capacity.

Confirm the ticketing status and remaining access before publishing. If you offer a waitlist, link to its actual process and terms. If no waitlist exists, say so rather than encouraging replies your team cannot organize.

Before you send

  1. Confirm the specific full activity, date, and admission scope.
  2. Close or update the ticket route before sending.
  3. Verify whether walk-ins or other activities remain available.
  4. Describe a waitlist or next event only if its arrangements are real.

Message examples to adapt

These are original examples. Replace bracketed details and check every promise before using them.

Event fully booked

Subject: [Event, date] has reached capacity

Registration for [event] on [date] is closed because capacity is full. [Walk-in policy]. Confirmed ticket holders keep [arrival details / booking arrangement]. [Verified waitlist route or no-waitlist statement]. Future event announcements are available at [signup URL], without a reserved place.

One activity full

Subject: [Activity] full; [other event access] still available

The [activity, date/time] is fully booked. [Other activities / browsing] remain available under [verified entry arrangement]. Current status: [link]. Please do not arrive expecting a place in the full activity unless your booking is confirmed.

Handle returned places through the real process

If a place becomes available, allocate or reopen it according to your booking rules. A broad announcement can invite open purchase but should not sound like a private waitlist offer.

Keep the event page current after capacity changes. Visitors outside the subscriber list rely on that page to decide whether they can attend.

Common questions

Can subscribers receive priority automatically?

No. An announcement subscription is not a ticket priority or waitlist system.

Should I announce the event as cancelled?

No. Capacity reached means registration is full; the event may still proceed for confirmed attendees.

Put this into practice

Send accurate capacity updates to event-news subscribers, with allocation and guest records handled in the ticketing process.
