Tell food truck followers a date has no public service

Mark the date as no public service and give the next confirmed public stop. You do not need to reveal the private event's address, client, or guest arrangements.

Replace an expected public stop clearly

Followers may expect the truck at its usual weekly pitch. If a private booking replaces that appearance, name the missed public date and location so customers can identify the changed plan. ‘Busy this weekend’ is not enough.

Check public preorders before announcing. If customers already arranged pickup at the regular pitch, handle those commitments privately. Do not redirect them to the private event or publish a venue address that creates unwanted arrivals.

Before you send

  1. Confirm which regular public appearance is absent.
  2. Check preorders or promised collections tied to that date.
  3. Verify the next public stop before recommending it.
  4. Remove the private venue from any public itinerary or maps link.

Message examples to adapt

These are original examples. Replace bracketed details and check every promise before using them.

Private booking replaces regular stop

Subject: No [Truck] public service at [pitch] on [date]

We will not serve the public at [usual pitch] on [date] because the truck has a private booking. Our next confirmed public stop is [date, location, window]. Existing pickup customers should contact [details] for their agreed next step. Current public schedule: [link].

Weekly schedule note

[Date]: private booking, no public service. [Next date]: public service at [address and landmark], [window]. Please use [schedule link] for our confirmed public stops. Private bookings are not walk-up locations, and their details are shared only with the booking customer.

Keep the public schedule useful

A schedule can show a closed public-service day without becoming a client list. Give followers the next available opportunity and maintain accurate dates, rather than explaining the private event in detail.

When public service resumes, announce the location and window normally. If no return is confirmed, say when you will update the schedule instead of assuming the usual pitch will be available.

Common questions

Should I share the private event address?

No public-service notice needs it. Keep client and guest details in the private booking process.

Can interested followers book catering through the list?

Link to your inquiry route and explain that availability and acceptance are confirmed separately.

Put this into practice

Use location updates to prevent wasted trips on private-booking days, with catering requests handled through your normal inquiry process.
